AI agents are moving fast from “cool demo” to “real work” in Microsoft 365, Copilot Studio, Power Platform, and line-of-business apps. That’s great for productivity—but it also creates a new kind of risk: agents can read files, send messages, trigger workflows, and act across systems at machine speed.

For Orlando small and midsize businesses, the goal isn’t to slow down innovation—it’s to make agent behavior visible, accountable, and safe enough to scale. Below is a practical governance checklist you can use to roll out AI agents in 2026 without turning them into an unmanaged shadow workforce.

1) Start with an “agent inventory”

Before you approve your first production agent, document the basics the same way you would for a privileged service account:

If you’re using Copilot Studio or Power Platform, use data loss prevention (DLP) policies to govern what connectors, actions, and triggers agents are allowed to use. Microsoft specifically calls out DLP controls for governing agent capabilities such as authentication, knowledge sources, connectors/skills, HTTP requests, publishing to channels, and triggers.

Practical tip: start with an “allowed list” of business-approved connectors (Microsoft 365, your PSA/ticketing platform, CRM) and block generic HTTP + consumer storage until you have a strong review process.

4) Require human approval for irreversible actions

Autonomy is useful, but it also amplifies mistakes. Define a simple rule:

Also consider role-based access to analytics. A read-only Analytics Viewer role (noted by Microsoft as generally available) lets stakeholders review performance and usage without giving them configuration or publishing rights.

7) Roll out in phases: internal first, customer-facing later

For most Orlando SMBs, the safest rollout path looks like this:

  1. Internal pilot for a single process (IT helpdesk triage, invoice coding, HR FAQ) using non-sensitive data.
  2. Harden controls (identity, least privilege, DLP, logging, approvals).
